Get it out of your head: simple systems

If your business only works when you're there because everything lives in your head, you don't have a team — you have helpers waiting on you. Writing down how things are done, even roughly, is what lets other people do them right without you. It's the difference between a job and a business.

Do this

  1. Pick the tasks you explain over and over, and write a short how-to for each — a checklist is plenty.
  2. Keep it simple: the steps, in order, in plain words. A page, not a manual.
  3. Store them where the team can find them — Bizer's Procedures, a binder, a shared doc.
  4. Improve them as you go. A living checklist beats a perfect document that never gets written.

Write your first procedure

Pick the thing you explain the most. Write it like this — that's it:

HOW WE CLOSE UP THE SHOP 1. Cash counted and logged 2. Tools back on the board 3. Doors and gate locked 4. Set the alarm (code by the door) 5. Text "closed" to the owner

Five plain steps anyone can follow. Do this for your 5-10 most-repeated tasks and the business can run a day without you. Keep them in Bizer's Procedures so the whole team has them — and ask Miles to help draft one.
